How to run a school day in Tototab

Tototab is the daily workflow communication layer between school and parent: diary posts, attendance, fees visibility, transport notes, homework, and parent replies.

What Tototab is for

Tototab helps a school tell parents what matters today. A parent should open Tototab and quickly know: what happened, what is due, whether the child was marked in school, whether fees need attention, whether transport changed, and whether the school needs a reply.

Keep it light. Tototab is for the daily diary layer, not for payroll, HR, inventory, full accounting, or a full school management system. The best results come from clean records and short parent-facing posts.

Who does what

Platform admin

Tototab business operator

Creates schools, reviews subscriptions, confirms offline school payments, monitors support, and keeps the business side clear. Platform admin does not manage school diaries or daily school records.

Finance

Fee visibility and references

Creates fee items, assigns fees to all students, a class, or one child, records payments, and keeps balances easy for parents to understand. Use Finance when a parent asks about balances or references.

Teacher

Class diary workspace

Marks attendance, posts homework, adds class notes or media, and asks parents for acknowledgement or a reply when needed. Teachers work from the Teacher workspace.

Parent or guardian

Child follow-up

Checks Today, reads the diary, opens calendar details, follows fees, and manages account settings. Parents should tap seen when they have read important updates and respond inside Tototab when the school asks.

Setup order

Set the school up in this order

1. Create classes

Add the class groups the school uses every day. These power attendance, teacher workspaces, student lists, and diary targeting.

2. Add teachers and subjects

Create teacher accounts, then attach teachers to the correct class and subject. This keeps teacher workspaces clear.

3. Add kids

Add students one by one or upload a CSV. CSV rows are reviewed first; nothing is saved until the review is confirmed.

4. Link guardians

Open a child account and link guardians by phone. One parent can follow children across different schools.

5. Set transport

Create routes, bus labels, pickup people, drivers, and pickup notes before posting transport messages.

6. Add fee items

Create fee items by term, assign them clearly, and record payments with references.

Morning

Teachers mark attendance. Parents can later see attendance from the parent calendar.

Fees

How finance should work

Create fee items by term, then assign them to all active students, one class, or one child. Record payments with method, amount, date, and reference. If a parent pays extra, Tototab keeps it as overpayment and applies it forward when the next term charge is created.

Parents should see a simple balance, not a full accounting screen. Staff can open a student workspace from Finance or Kids to understand fees together with guardians, class, transport, and diary history.

Diary posts

What belongs in the diary

Post what helps a parent support the child: homework, assignments, school notices, fee reminders, results, transport changes, class photos, PDFs, short videos, and requests for a reply.

Use urgent only for information that truly needs immediate attention, such as school closure, safety notices, or transport delays. For normal school rhythm, keep posts calm, clear, and specific.

Practical answers

Can platform admin manage school diaries?

No. Platform admin manages the Tototab business. School diary work stays inside the school workspace.

Can one parent see children in different schools?

Yes. Link the same guardian phone to each child. The parent account shows all linked children.

What should be uploaded by CSV?

Student records only: name, admission number, class, and optional sport, house, or photo link. Classes must already exist.

Who should edit fee records?

Finance owns fee items, payment references, and term balances. School admins can see the wider school picture.

What if a child is not on school transport?

Set pickup as parent pickup, driver pickup, walks home, or other. Save the pickup person where the school needs that record.
